Batch import using spreadsheet data

This document describes how to easily import a batch of publications with the use of a spreadsheet program such as Microsoft Excel or LibreOffice. Before doing so, you must possess the metadata relating to your publications (this procedure is detailed in this document). Batch importation allows you to create many publications at once, or to modify those that already exist on the platform, in a single operation. This document describes the CSV import, for a more general overview of the import process, check this document. You can also import with the Onix standard (version 2.1 or 3.0), or with our custom XML.

Step 1: Download the template file

The metadata template file is available in LibreOffice ou Microsoft Excel. and Microsoft Excel formats. We recommend using LibreOffice because it manages the display of ISBN codes better. You can download LibreOffice for free by clicking here.

TIP : You can also get a version of the file that already contains the data saved in your platform account by clicking on the Excel Report button in the Publications section. By doing this, you avoid having to duplicate your data. Note that this document’s layout differs slightly from that of the templates listed above, but its structure is identical.



 

Step 2: Document the metadata

Each column in the file must be filled in as described in the instructions provided in Appendix 1. One line represents one publication. You can use your spreadsheet to create new publications or to change existing publication metadata. Note that information relating to a publication that is entered in a spreadsheet cell replaces any information that is saved and displayed on the platform. If you do not want to replace existing data, leave the cells empty.


Step 3: Save the file in CSV format

Once your data is ready, save a copy of your file in CSV format using the UTF-8 encoding and choose the semicolon (;) as field delimiter. Most spreadsheet software offers this option in the File / Save As menu.
